The Leetham House Community Group (LHCG) will be holding its second Annual General Meeting (AGM). This will be an important meeting for the LHCG, because it will be holding its first committee elections since being established two years ago in November 2021. The AGM is open to all leaseholders (owners), resident or not. Anyone interested in joining the committee are encouraged to contact us.

Description

In accordance with the LHCG's Constitution & Rules, the Committee consists of a maximum of ten committee members, including the Chair, Secretary and Treasurer. Once elected, each committee member is expected to take on at least one role, which they will be responsible for 2 years.

Some of the roles may be shared by more than one committee member. Officers do not necessarily have to adopt a role, as long as there are sufficient numbers of committee members to adopt the required roles. The roles and responsibilities of the Committee are as follows:

Chair

Responsible for arranging and chairing committee meetings and, when necessary, to act as a spokesperson on behalf of the LHCG when necessary. For the avoidance of doubt, the Chair does not make decisions on behalf of the Committee.

Vice-Chair

Responsible for acting as Chair should the Chair be unavailable or decline to act. The Vice-Chair may be one of the other Officers, or an elected committee member appointed by the Committee.

Secretary

Responsible for the LHCG's organisation and membership, including being the custodian of its mailing lists, taking minutes and being the first point of contact for correspondence.

Treasurer

Responsible for managing the LHCG's income and expenditure, including (where necessary) seeking approval from the Committee.

Social Activities

Responsible for organising social events. Events and activities are decided by the Committee and will include (but are not necessarily limited to) social gatherings, quiz nights, day trips, Christmas drinks etc.

Fundraising

Responsible for raising funds. Fundraising activities are decided by the Committee and will include (but are not necessarily limited to) donations, raffles, event tickets etc.

Managing Agent Liaison

Responsible for meeting with the Managing Agent (currently Watson) on a regular basis, ideally monthly. The role is shared by at least two committee members, who will be the main contact point for the Managing Agent and will report to the Committee (who are the decision-making body).

Reviewing Service Charges

Responsible for reviewing the service charge expenditure reports and annual budgets from the Managing Agent.

Communication

Responsible for external communications. This role covers both digital communication (e.g. sending out emails to members, administering the WhatsApp group etc.) and physical communication (e.g. putting up posters). The role is shared by at least two committee members.

Social Media

Responsible for representing the LHCG on social media including (but not necessarily limited to) Facebook and Instagram.
